Key Goal
Spend a minimum of half your time working on classes and school squads
  • Too many gyms spend 90% of their time and energy on their All Star Teams
  • All Star Teams make about $7-­‐$10 an hour where classes and squads can make $15-­‐$20 an hour
Collections
What Is Needed for Efficiency 
  • Do you have the correct forms at your fingertips? 
  • Inquiry log, incident report, deposits, applications, employment forms, class schedules, brochures, event flyers, private lesson logs, staff time cards, etc. 
Are you maximizing your use of the internet?
Mailing and phone calls take lots of time

Do you have the best gym operational software?
We use iClassPro for payments through our website and to communicate with clients

Daily Opening and Closing Items   
  • 1st thing for me daily
    • How are we doing with our budget? 
    • How much time is needed for administration? This needs to be constantly reviewed. 
  • Answering phone calls and emails is the most important task.
    • Too many gyms have office staff that act like this is a secondary task 
    • People today do not like getting voicemails
    • When I call a business and it goes to voicemail, I call the next business right away that offers that service 
  • Bank deposits 
  • Security of all money and valuables 
  • Includes computer security

Cleaning
Do you use staff or an outside service?
Remember that women's restrooms take a beating in this industry.
They must be checked several times daily.
Consider the type of clients you want to attract.
They expect your business to be spotless.

Weekly Items
  • Update Website 
    • Updates to a website (weekly) to keep customers visiting your site.
    • Shows that your information is relevant
  • Send out press releases - pick a day to write and send these out weekly (free advertising)
    • Advertising (paid) - pick a day to consider this each week
How to divide weekly tasks into daily tasks:
Monday - Website Updates/Parent communication
Tuesday - Press Release
Wednesday - Advertising
Thursday - Staff Meetings and Trainings

Problems that can occur
Injuries
Bad weather closings
Staff member called in sick
Parent/Student/Employee out of control
Emergency plan (fire or natural disaster)
Call from threatening lawyer
Unwanted visitors
Robbery
